So I recently had a customer call me and they were asking me for my recommendations on teams phone system for their company. But the thing is, is that their company currently isn’t using teams. See, they have an on prem exchange server and they’re looking to get into office 365 for Microsoft, 365 I should say now. And they thought, well, you know, our phone systems all maybe we should also look at a teams phone system. So they wanted to know my recommendation and my recommendation to them and any other company that’s like them is, no, you shouldn’t use teams phone system. Why, you might ask? 5 Reasons why you shouldn’t use Teams

Okay. I don’t think your company should use Microsoft teams phone system if your company currently is not using teams today. So if if your employees are not using teams for conferencing collaboration like instant messaging, back and forth workflows, things like that, if you’re not using teams, if either you don’t have teams installed, like for instance, if you’re using an on prem exchange server, you don’t even have Microsoft 365 or if you have teams and nobody’s using it. If you’re thinking Microsoft teams phone system might be an option, I’d say don’t do it. And I have five reasons why.

1. Nobody is using teams, so congrats, you’re free!

Number one, if nobody is using it today, if nobody is using teams today, congratulations is the number one reason why you are free from Microsoft teams phone system is because nobody’s using it. So that’s one of the number one reasons why companies are using teams phone system today is because their employees started using teams so much that it just made sense to add phone system on top of the teams that they’re using today. So basically those companies didn’t want to have to retrain employees to use a different application for instant messaging and conferencing. So you’re free.

2. It is going to cost your company the same for teams as any other solutions

Number two, it’s going to cost you about the same as any other cloud PBX offering. So teams at the end of the day between the licensing add on and the calling plan for every single user is going to cost you about the same, if not more as any other cloud phone system solution out there. Contrary to popular opinion, once in a while people think teams is going to be less expensive. I get people reaching out to me, thinking teams is going to cost them less just because they have that little purple icon already on their computer. But that’s not the case. That little purple icon just means you have teams. It doesn’t mean you have teams phone. So teams phone, we add the licensing, add on for teams phone standard plus the calling plan. For every single user you’re looking at between 15 to $20 per month per user, which is the same as any cloud phone system solution out there.

3. Other solutions are better for the phone system piece

Number three, there are simply better phone system solutions out there for you. So if you don’t have to use team’s phone system for your company meeting, like you don’t have users already using teams already, why go to teams phone system? Because I don’t think there’s any argument in the industry teams phone system is not the best cloud phone system out there. It definitely has a lot of feature gaps for the if it’s going to cost the same as any other solution out there, why are you going to pay the same for less of a phone system, for instance, that doesn’t have call center capability? They can’t do SMS, MMS texting, There isn’t a reception. Soft console, there isn’t good reporting there. Recording leaves a lot to be desired. There isn’t good integration with overhead paging and things like that. So the list goes on and on and on. And overall, it’s definitely not as user friendly as some of the other solutions out there. So if it’s going to be less feature rich in cost, the same doesn’t make sense, right?

4. Other solutions do everything Teams does, for conferencing and instant messaging, etc.

Number four, some people will say, Yeah, but isn’t like isn’t teams awesome for conferencing and instant messaging. So hey we want to add office 365 or Microsoft 365 and we want to use teams for that stuff because I heard teams is great. Well, there are other cloud phone system solutions out there that also do instant messaging and conferencing just as good, if not better than teams. Just in terms of those two things, instant messaging and conferencing. So teams is not the be all end all when it comes to conferencing and instant messaging. It’s definitely one of the most popular solutions because it comes for free along with the other cloud, you know, options for Microsoft. 365 most people get Microsoft 365 for the email and the word processing documents and Excel, things like that. And they go, Hey, what’s this portable icon? And it works great for instant messaging conferencing. But there are other solutions out there who do that just as well. In addition to the phone system stuff.

5. Teams isn’t necessarily the wave of the future

And lastly, number five teams is not necessarily nearly going to be the wave of the future. So some companies will come to me and they’ll say, Yeah, I think we just want to go with teams though, because isn’t that where everything’s going? Isn’t teams phone system going to be the last man standing at the end of the day? No. So that’s not the case. I know sometimes it feels like that in the moment, but I’ve been in the industry over 20 years. I can’t tell you how many different times people have said, Oh, this is the way everything is going to go, and then it doesn’t go that way. That’s just the way technology is, right? You guys know that. And, you know, if Microsoft, you look at their history first, they had link for phone systems, then they had Skype. Now they have teams and I can tell you from 2018 when they launched teams, they said a lot of stuff was on the roadmap. A lot of those items are still on the roadmap in 2023. So they’re not investing a ton of R&D into it. So I don’t think it’s going to be the phone system of the future necessarily. It could be, but it’s like it’s showing signs that it’s not going to be okay. So don’t feel like you have to go to teams phone system because that’s the wave of the future. It’s simply not. There are a lot of other good phone systems solutions out there and teams isn’t really the be all end all for the future. So don’t feel pressure from that side of things. Don’t want Microsoft make you think that they’re the only option out there because they’re just not

Conclusion

okay, So what should you do then? If your company isn’t going to be a fit for Microsoft teams, which vendor is the best solution for you in terms of a phone system? Well, a lot of factors go into that. Like how many employees do you have? What phone system features do you need? What countries are your users sitting in? What countries are you calling? All types of different things, you know, like what software do you need to integrate with when it comes to CRM? All types of different factors in there. So there’s a lot of different factors, which makes things a little bit confusing.
