Which business VoIP providers are the best? Why?

Well, it depends your company’s requirements. There are hundreds of hosted PBX vendors and each has their own niche, so the devil is in the details.

Probably the most common question I’m asked, (and it’s very understandable), is “who are the best business VoIP companies out there?”

Well, there’s over 100 different hosted PBX or hosted VoIP providers that our company represents, so there are a lot of them. And really, in terms of which ones are the best, it really comes down to a lot of different criteria. What I would say is the devil’s in the details. It depends on what your company needs.

There is no one size fits all. There’s not like, “Hey, this one company is always the best no matter what size your company is,” and all that good stuff. So let me give you seven main criteria to ask yourself that will help narrow the field, at least a little bit, and help you narrow down which hosted VoIP providers might be best for your company.

Business VoIP Providers

Okay, first is company size. How big is your company? If your company has two employees, the hosted VoIP providers that are going to be the best fit for your company are going to be different than if your company has 2,000 employees. So company size really matters, so make sure you take that into consideration.

The second is geography, where are your sites located? Are all of your sites in the United States? Do you just have one site and it’s located in Canada? Are your sites global? The answers to those questions are going to really affect the providers that are going to be the best fit for your company.

Then calling patterns is number three, so does your company use the phone a ton or very little? Do you have a call center? Do you have 800 numbers that are calling your company all the time? Are you making a lot of outbound calls and maybe need a dialer? Those are obviously going to drastically affect which companies are going to be the best fit for your business.

And then feature fit. What about features? What features does your company need? Do you need things like conferencing? Do you need different features that maybe are very unique for your company? Well, not all hosted VoIP providers offer the same features, so obviously that’s going to differentiate service providers for you in terms of who’s the best.

Then number five is software integration. Does your company want your hosted phone system to integrate with your current software? For instance, do you have a CRM system that you want your employees to be able to click to dial from or maybe a CRM system that every time one of your existing customers calls in, it automatically creates an activity in that customer record in your CRM? Well, not all service providers offer the same integration, so that will differentiate hosted VoIP providers for you.

Okay, number six is compliance requirements. Does your company need a hosted VoIP provider who is HIPAA compliant? What about PCI compliant? There’s a lot of international compliance standards that you might need to meet, so that’s definitely going to narrow the field.

And last but not least is number seven, reporting requirements. What type of reporting does your company require on the phone system? Do you need to see where calls are coming from? Do you need to have an easy way to track call activity for your salespeople in the office? Do you need to have sales boards in the office that show call activity? What types of call reports does your company need?

So those are just seven things that will differentiate the hosted VoIP providers that you look at. So not all providers are created the same. You really need to dive into the details that your company needs. And obviously there’s a lot more than seven, but I think those seven are the major ones that you need to cover first.
