So your company is looking for a new phone system and one of the options you’ve obviously heard of is a hosted VoIP service, but you’re wondering, hey, we have a lot of employees and we’re not making a lot of phone calls. We’re not very phone intensive. So is it really worth it for us to use a hosted VoIP provider and pay monthly for every single employee we have when they’re not using the phone a whole lot? Is that really a wise choice?

Well, it is a wise choice, but I would recommend choosing a hosted VoIP service provider that has pricing that caters to larger companies like yours.

For instance, most hosted VoIP service providers cater to companies with like five employees. So their monthly price per phone extension includes a call path because if you only have five employees, good likelihood that you’re going to have five or more people on the phone at the same time, maybe all five people on the phone and you have a couple of calls coming in.

So that’s very likely, but with 5,000 employees, that’s very unlikely, in fact, most time impossible that you’re going to need 5,000 call paths.

So some hosted VoIP service providers, what they do is they break the pricing apart into what they call unbundled pricing. They price extensions separate from call paths and that brings the extension costs down considerably. So instead of around $20 per extension, they’re more like five to $10 per month per extension, and maybe $20 per call path. Obviously it’s some volume discounts can be thrown in there if you have a really big company, but that just goes to show if you do the math on that, you’re going to find a lot more cost effective for you to use one of those providers then use a provider that’s catering to companies with five employees and giving you a call path with every user, that does not fit your business. You have a lot of employees and you’re not on the phone a whole lot.

Another option is to maybe consider looking into hosted voice service providers who have metered pricing, meaning that you pay per minute, you don’t pay for unlimited usage for every single user, because obviously not all your users need unlimited usage. Or maybe find a service provider who can mix and match, who can give you unlimited for your heavy users for like maybe your salespeople and some of your marketing folks, things like that, but then give you meter usage for all the rest of your users who barely use the phone and maybe just get some minute bundles or things like that for them.

So those are some different ways to do it. There’s also some providers who only charge you for call paths and do not charge you for users whatsoever. So you only pay maybe $40 per month per call path and you don’t pay for users.

Also find providers who offer low end user types, like users who don’t need a lot of features, things like that.

So there’s a few things you can do if you have a lot of users and they’re not using the phone a whole lot, they’re not making a lot of calls. There are some great hosted VoIP options out there, you just have to look a little harder.
