Which cloud PBX service providers are HIPAA compliant? It seems like a pretty simple question on the surface, but when you dig down deeper, you want to really ask yourself, “What does HIPAA compliance mean to our organization? Do we mean that every possible thing that needs to be HIPAA compliant is HIPAA compliant or are we just looking for something to check the box?” There’s a lot of different things to consider when you’re looking at a cloud PBX service provider.

So I made a video series on this topic and in the video series I’m covering different aspects of HIPAA compliance that you might want to ask about when you’re searching for a new cloud PBX service provider. So today’s video is going to be on a BAA and also an automatic deletion policy.

BAA

Well, if you’re looking for a new cloud PBX service provider and they need to be HIPAA compliant for your organization, the first thing you want to look at is can the service provider supply you with a BAA? It sounds pretty basic, but you’d be surprised. There are some service providers out there who the salesperson might say, they’re HIPAA compliant. But when you dig down deep, their service provider cannot supply you with a BAA at this point in time.

They might say, “Hey, that’s something we’re working on and it’s coming down the road, but at this point we do not have the ability to supply you with the BAA.” Well, you want to know that right upfront so you don’t waste your time sitting on demos, going through the quoting process, and then find that out later. So definitely something you want to ask right away.

Automatic Deletion

So the second thing I want to touch on today, that is also one of the first things you should ask. If you’re looking for a new cloud PBX solution that’s HIPAA compliant is, does the supplier, does the service provider have the ability to have like a feature setting where you can automatically delete certain things after 30 days? So things like voicemails and SMS messaging. If you want to go there for HIPAA compliance or chat messages, things like that, faxes. You want to check and see do they have the ability for you to have an automated setting that automatically deletes those things after 30 days?

That’s going to be something that will help you be HIPAA compliant versus something where you have to go in and manually do that all the time in order to maintain your HIPAA compliance, that’s a big ordeal for your IT organization. And you definitely don’t want to be leaning on the users to delete it after 30 days, because we all know what’s going to happen there.
