So here’s a scenario that you might have going on in your company. Say there’s a sales counter inside your company and there’s several phones on and around the sales counter and there’s several employees standing around. And your main phone number rings, all those phones at the same time today. anyone who’s working can just go by and pick up the phone and answer it. But none of the employees working really have a dedicated extension just for them. They just have multiple phones lying around and they’re using whichever phone is available. if that sounds familiar to you, or maybe there’s a different scenario where you have multiple phones around the office that aren’t associated with one particular person, they’re what I would call a common area phone. But that phone has to have a live extension and multiple people can pick up the phone if it’s ringing or make a call from that phone.

Now, if you’ve watched my videos I’ve done on Microsoft teams phone system pricing for 2024, you’ll know that if you have a common area phone with Microsoft teams phone, you have to get a shared device license for that phone, for that handset, for that desk phone. So you need a shared device license for each one of those. So but the question then becomes go back to that scenario that I talked about. You have three or four phones that are kind of in a similar proximity and none of them are associated with any particular user, but they’re all using the same phone number. So when the main phone number rings or that one phone number rings, all these phones ring simultaneously.

Do you need a Shared Device License for every single desk phone?

So they don’t need separate phone numbers. The question is, do you need to get a shared device license for each one of those desk phones in order to make this work with teams phone system? Well, the answer, if you ask the wrong person is going to be, yes, you do. But I was talking to one of the service providers that I work with that sells operator connect for teams phone system. And they actually told me a little trick, sometimes lesser known secret that you actually don’t need a shared device license for each one of those phones. And that scenario that I described, I’m going to talk to you about that in this video. So if that sounds familiar, listen, this video, I think it’s going to help you.

Shared Device Licenses can be shared

So I was talking to one of my friends in the industry who in their company sells Microsoft teams phone operator Connect, so they are very knowledgeable on teams phone.

And I said, Hey, you know, here’s the scenario. Like the one I described in the beginning of the video Does every, commentary phone in that scenario need a separate share device license because they’re all sharing the same phone number. Do they all need their own shared device license? And he told me, no, they do not. Microsoft will allow you to use one shared device license for up to five phones. and on top of that, you could have all five phones on the phone simultaneously talking, using the same outbound caller ID for the same phone number. Or they could be taking calls that are coming in on that same phone number. So you have multiple people calling in to the same phone number, multiple people picking up desk phones in that area, up to five different phones. And they can all be talking on the phone simultaneously in only using one shared device license. Pretty cool, right?

2 Stipulations

There’s only a couple stipulations to that. Number one, like I mentioned earlier, they all need to be using the same phone number. you know, that’s part of it. So you have to have up to five. You can have more than five and they all have to be using the same phone number. You can’t have them using different phone numbers.

Number two is they all have to be on the same floor in the same building. I’m assuming that’s probably because of 911 reasons, but I don’t know for sure, But I think that’s the reason why. So those are the two stipulations. But other than that, you can use one shared device license for up to five phones.
