Can You Really Trust Your Employees to Never Input PII?
Can you really trust that every single employee is going to watch every training, follow every instruction, and never upload any personally identifiable information into your enterprise AI solution? No. Someone is going to slip up at some point. You have to assume it’s going to happen. And when it does, you’re looking at a potential breach — competitors getting your data, bad actors getting PII out in the open, fines, lawsuits. It’s bad. So you have to get ahead of it.
Step One: Eliminate Shadow AI
The first thing you need to do is make sure your employees aren’t going out and downloading whatever AI solution they feel like putting on their laptop or phone and uploading company data into it freely. That’s called shadow AI and you don’t want it. The way you combat it is by giving employees a legitimate alternative — an enterprise AI solution they’re authorized to use. Give them the tool, and they won’t need to go find their own.
Step Two: Make Sure Your Enterprise AI Can Recognize and Redact PII
Beyond eliminating shadow AI, the enterprise AI solution itself has to have the ability to handle PII. Specifically it needs to be able to recognize it and then do one of three things. First, it can block the information outright — it sees PII coming in and stops it. Second, it can redact it — blanking out the sensitive information so it doesn’t enter the system. Third, it can replace it with dummy information — the AI generates false placeholder data in place of the real PII so the workflow continues without exposing anything sensitive. Any one of those three approaches works. What matters is that your enterprise AI solution has at least one of them built in. If it doesn’t recognize and handle PII in some way, it’s a liability.
