They have been the market leader in cloud phone systems for a long time. They are probably one of the only business phone system companies that your CEO or business owner has actually heard of. If you are in IT and you are quoting a cloud phone system, RingCentral is the one your boss might ask you about. <\/p>\n\n\n\n<p>But in 2026, with Microsoft Teams Phone, Zoom Phone, Cisco WebEx Calling, <a href=\"https:\/\/www.aerocominc.com\/info\/dialpad-phone-system-ucaas-demo-and-review-still-an-innovator\/\">Dialpad<\/a>, Intermedia, and so many other options now competing at a high level, is RingCentral still the right choice? That is exactly what I set out to answer by doing a full demo of their platform. Here is what I found.<\/p>\n\n\n\n<p><strong>User Experience: Still One of the Best in the Market<\/strong><\/p>\n\n\n\n<p>One of the first things I think of when I think of RingCentral is how easy their platform is to use. The basics \u2014 answering, transferring, voicemail, auto attendant \u2014 are all extremely intuitive. The home screen on both the desktop app and the mobile app is exactly what you would expect. On the left you see phone, video, message, text, fax, and contacts. Clean, simple, and impossible to misread. Even a novice user can figure it out immediately.<\/p>\n\n\n\n<p>Changing your caller ID is just as straightforward. You click on &#8220;my caller ID&#8221; right above the dial pad, right where you would expect it to be. Same on the mobile app. For a company with hundreds or thousands of employees, that kind of intuitive design means fewer support requests and faster adoption across the organization.<\/p>\n\n\n\n<p><strong>New Feature: Log In and Log Out of Call Queues<\/strong><\/p>\n\n\n\n<p>There is a trend happening in business phone systems right now where UCaaS providers are adding small call center features to their basic business phone system licenses. RingCentral is one of them, and it is a great development for companies that have a small call center but are not ready to invest in full call center software.<\/p>\n\n\n\n<p>The first new feature worth highlighting is the ability for users to log themselves in and out of call queues directly from their profile. It is a simple toggle. When a call comes into a queue, the user can also see which queue it is coming from so they know exactly how to answer. No call center license required.<\/p>\n\n\n\n<p><strong>Call Controls and Call Flip<\/strong><\/p>\n\n\n\n<p>During a live call, all standard controls are available and easy to find: adding someone to the call, placing someone on hold, and transferring. When transferring, you just type in the name of the person you want to send the call to and choose how you want to transfer it. RingCentral also has a call flip feature that lets you move an active call between devices seamlessly. You can flip from your mobile app to the desktop client or even to a physical desk phone at your desk with a single click. <\/p>\n\n\n\n<p><strong>Voicemail With Transcription and Email Delivery<\/strong><\/p>\n\n\n\n<p>RingCentral handles voicemail well. Under the phone menu you click on voicemail and see all your messages alongside their transcriptions. Voicemails are also sent to email as an MP3 file with the full transcription included in the email body. No more calling into your voicemail, entering a password, and deleting messages one by one. Everything is right there in your inbox.<\/p>\n\n\n\n<p><strong>Shared Voicemail for Call Queues<\/strong><\/p>\n\n\n\n<p>RingCentral also has shared voicemail for call queues. If customers are calling a sales queue number and leaving voicemails, any member of the sales team can access and listen to those messages from a shared inbox. You click on voicemail, select the sales team, and all the messages for that queue appear in one place. A simple feature that solves a real problem for companies with shared phone lines.<\/p>\n\n\n\n<p><strong>AI Notetaker<\/strong><\/p>\n\n\n\n<p>RingCentral recently added an AI notetaker to their platform. Every call can be automatically transcribed and summarized by AI, including a breakdown of the next steps that were agreed upon during the call. You can copy the summary into an email, send it to a manager, or push it directly into your CRM. The AI notes are accessible from the notes column in the app in both summary and full transcript form. <\/p>\n\n\n\n<p><strong>ACE: AI Conversational Expert<\/strong><\/p>\n\n\n\n<p>For supervisors and managers who want deeper visibility into what is happening on calls across their team, RingCentral has a new AI tool called ACE, which stands for AI Conversational Expert. ACE is built for sales teams and customer service teams that want real data on call performance.<\/p>\n\n\n\n<p>ACE automatically scores every call on a scale of 1 to 10. Mouse over any score and a quick justification pops up explaining why the call received that rating. Managers can use high scores to deliver specific public positive feedback to their team, and low scores to identify coaching opportunities.<\/p>\n\n\n\n<p>Drilling into a specific call gives you detailed metrics: customer sentiment, talk to listen ratio, talking speed, longest monologue, and more. You can also see coaching insights from the AI and enter your own feedback directly on the call for the agent to review later.<\/p>\n\n\n\n<p><strong>AI Tracker for Competitor and Objection Monitoring<\/strong><\/p>\n\n\n\n<p>ACE also includes an AI tracker that lets managers monitor how often specific topics are coming up across all calls. You can create custom trackers for competitor mentions, specific products, objection handling, or anything else relevant to your business. The tracker shows which agents are handling those situations most often and lets you drill into individual calls to evaluate how they performed. There is also a library section where managers can save notable calls by topic to use as training examples for the team.<\/p>\n\n\n\n<p><strong>Shared Text Inbox<\/strong><\/p>\n\n\n\n<p>RingCentral recently added a shared inbox for text messages on call queue numbers. If your sales team tells customers they can call or text a specific number, any member of the sales team can now see and respond to those incoming texts from a shared inbox. Texts that have been responded to show a green check mark. You can filter to show only open unanswered texts. A practical feature that closes a gap a lot of companies run into when they start using SMS for business.<\/p>\n\n\n\n<p><strong>Microsoft Teams Integration With Bidirectional Presence Sync<\/strong><\/p>\n\n\n\n<p>If your company uses Teams heavily for instant messaging, conferencing, and collaboration, RingCentral integrates directly inside Teams. The RingCentral logo appears in the left hand sidebar of the Teams app. Click on it and the full RingCentral experience appears as an iframe inside Teams \u2014 call controls, caller ID settings, queue management, voicemail, AI notes, texts, and faxes all visible inside Teams without ever opening the RingCentral app separately.<\/p>\n\n\n\n<p>RingCentral also has fully bidirectional presence sync with Microsoft calendars. If someone is on a RingCentral call, their Teams status reflects it. If someone is in a Teams meeting, their RingCentral presence reflects it. Both platforms stay in sync in real time.<\/p>\n\n\n\n<p><strong>Admin Portal<\/strong><\/p>\n\n\n\n<p>RingCentral has one of the better administrative portals in the industry. The homepage uses simple circular shortcut icons in different colors that make navigating the portal feel approachable rather than overwhelming. Setting up call handling for a specific site is just a few clicks: phone system, select the site, call handling, and your options appear. Managing a call queue is equally simple.<\/p>\n\n\n\n<p>Inside call queue settings, managers can see which agents are currently logged in and manually toggle agents in or out if they forgot to log themselves in or out. Call routing options include longest idle, simultaneous ring, and fixed order.<\/p>\n\n\n\n<p>A newer addition to the admin portal is the ability to enable notifications for customers waiting in a queue: their position in the queue, estimated wait time, and callback options. That is a call center feature showing up on a basic phone system license.<\/p>\n\n\n\n<p>Adding users is also straightforward. You click add user, enter the person&#8217;s information, and choose their license. If you do not have an available license, RingCentral lets you purchase one directly inside the portal on the spot. Most providers require you to have a license already purchased before adding a user. RingCentral skips that friction.<\/p>\n\n\n\n<p><strong>AI Receptionist<\/strong><\/p>\n\n\n\n<p>RingCentral has also launched a new AI receptionist. You can set up FAQs by providing a website URL and RingCentral automatically creates and populates them, which you can then edit to further train the AI model. A knowledge hub lets you add additional database information to teach the AI receptionist whatever your company needs it to know. A good starting point for most companies is using it to handle after hours calls before expanding its capabilities further.<\/p>\n\n\n\n<p><strong>Analytics: Historical and Real Time<\/strong><\/p>\n\n\n\n<p>RingCentral offers both historical and real time analytics, and they are among the better analytics packages available on a basic business phone system license. Historical analytics update hourly and include total calls, inbound versus outbound breakdowns, average handle time, abandoned calls, and call volume by user. The visual graph showing calls received versus calls answered is immediately useful for call center management.<\/p>\n\n\n\n<p>RingCentral also offers cradle to grave reporting, which tracks every call from start to finish and shows every person and device the call touched along the way. If a customer says they called but never got through, you can trace the entire path of that call. [BLOG LINK 2]\n\n\n\n<p>The real time quality of service tool shows the percentage of calls meeting a minimum MOS score threshold, how individual ISPs are performing, and lets you drill into poor quality calls to see packet loss, jitter, device type, and connection type. A genuinely useful troubleshooting tool for IT departments managing a large phone system environment.<\/p>\n\n\n\n<p><strong>Is RingCentral Still the Right Fit in 2026?<\/strong><\/p>\n\n\n\n<p><a href=\"https:\/\/youtu.be\/VPGAgNaWoWs\">RingCentral <\/a>is no longer the only name in the room. Microsoft Teams Phone has taken some market share, and Zoom Phone, WebEx Calling, <a href=\"https:\/\/youtu.be\/Ip4_b0wZFzc\">Dialpad<\/a>, and Intermedia have all made significant improvements. RingCentral is not necessarily best of breed in every single feature category. But if your company needs a little bit of everything in one platform, RingCentral is still a very strong option.
